Whistleblower Reporting Center

As part of our obligations under the Whistleblower Protection Act and the Supply Chain Due Diligence Act, we have established a trusted whistleblower reporting channel. This reporting channel offers all internal and external whistleblowers—including employees, temporary workers, business partners, and other stakeholders—the opportunity to safely and confidentially report potential violations or misconduct related to our company. It is available for reports from all business areas and covers the entire supply chain.

The whistleblower reporting center allows for the submission of reports regarding potential violations or misconduct, particularly in the following areas:

  • Unethical business practices and legal violations (in particular fraud, corruption, and conflicts of interest)

  • Human rights risks and violations of human rights-related obligations (e.g., child labor, discrimination)

  • Environmental complaints and violations of environmental obligations (e.g., environmental violations)

  • Other conduct that violates the Code of Conduct of Feinhütte Halsbrücke GmbH

Please note that the reporting channels cannot be used for general complaints or product and warranty inquiries.

Submission Channels

Employees, business partners, external service providers, and other third parties can report risks and violations through various reporting channels.

Via the contact form: Internal and external stakeholders can submit reports (including anonymously) at any time using the contact form. Providing detailed information (what, when, where) helps ensure your report is processed quickly.

By email: Send your reports to grievance@feinhuette.de. Please describe the incident precisely (what, when, where). Your report will be handled confidentially and, if requested, anonymously.

In general, whistleblowers can also request and arrange a personal meeting through the channels listed above.

Reporting a Violation

To ensure a proper and effective investigation of a risk or incident, reports of incidents or violations must include specific facts. 

To ensure a thorough review of a report, providing information regarding the following questions is helpful and effective. It is not necessary to answer all questions; all reports will be investigated.

  • Which individuals are involved in or affected by the incident?

  • What happened, where, and when?

  • How did you become aware of it?

  • Is the incident likely to recur? If so, when and where?

  • Who else might be aware of the incident or have access to the relevant
    information?

  • Are there any documents, photos, or other evidence related to the incident described?

  • Is there any other information that might be relevant or helpful?

Rules of the Mechanism

Anonymity and Confidentiality

Whistleblowers may contact the reporting office anonymously. If a whistleblower chooses to disclose their identity, it will be treated confidentially. All reports, regardless of their form, are handled confidentially. The employees responsible for processing the reports are specially trained, impartial, independent, not subject to instructions from others, and bound by a duty of confidentiality.

Protection of the Whistleblower

The identities of whistleblowers and affected individuals are treated confidentially. Access is restricted exclusively to the designated reporting office representatives. An independent investigation team is assembled to investigate the report, and this team adheres to the need-to-know principle.

Protection of Other Involved Persons

Individuals who participate in the investigation or provide evidence are protected to the same extent. The rights of individuals affected by a report are also safeguarded in accordance with legal provisions.

Exclusion

Protective measures do not apply in cases of intentional false statements or gross negligence; in such cases, the responsible person may be held liable for any resulting damages.

How It Works

  • Anonymous Report – You can report an issue anonymously without providing your personal information.

  • Describe the reported issue in as much detail as possible.

  • Attach any supporting documentation (if available).

  • Submit your report. A confirmation of receipt will be sent to the reporter (unless the report is anonymous) within seven days.

  • Compliance officers will review the report for plausibility and validity.

  • The responsible internal officer will conduct a further investigation, depending on the nature of the complaint.

  • If necessary, independent experts or external specialists will be consulted.

  • The investigation is conducted objectively and impartially.

  • Documentation of the investigation and its results in accordance with legal requirements.

  • The whistleblower is informed of the status of the investigation and any measures taken or planned no later than three months after confirmation of receipt (provided this is permitted under applicable law and data protection regulations).

  • If the report is found to be valid, appropriate measures will be taken.

  • If you provide us with your contact information, we will keep you informed of the progress and outcome of your report.
